South Middlesex Opportunity Council Administrative Assistant, GWHC in Worcester, Massachusetts
Summary: Provide administrative support and assistance to the GWHC, MLK and N. County program and operations. This position will work in close partnership with other SMOC departments including Triage, Supportive Housing and the SMOC Housing Corporation.

Primary Responsibilities:
Serve as the receptionist and front desk contact for the “Center”; Direct callers and visitors to the appropriate staff
Welcome and engage guests and ensure connections to the appropriate programs and staff
Sort and distribute the daily mail and coordinate interagency mail delivery with headquarters.
Provide administrative support to GWHC and MLK programs
Coordinate office supply orders and inventory for the staff and programs
Assist in developing monthly workshop calendars, scheduling meeting space and signing in and directing clients.
Manage the invoicing process including organizing, coding and processing all expense invoices within A&F guidelines.
Check phone messages daily and ensure calls are referred to the appropriate staff. If the referral is external, return calls to make sure follow-up is conducted.
Collect rent payments at the reception area and distribute according to protocols outlined by SMOC Housing Property Managers and Director.
Act as initial point of contact in person, by phone, or by email for anyone that comes through GWHC for services, and refer accordingly.
Engage all clients by understanding and addressing their needs whether within or outside the scope of work and providing referrals as appropriate.
Attend & participate in engagement team meetings as requested and communicate effectively with clients and staff in other areas.
Maintain confidentiality of client, employee and agency information in accordance with federal and state laws and funder requirements.
Ensure compliance with program/department, agency and/or funder requirements, as well as, SMOC policies & procedures.
Other duties as assigned.
Knowledge and Skill Requirements:
Associates degree preferred or equivalent work experience
Minimum 2 years general administrative experience
Proven computer skills in Microsoft Office
Must be organized and detail oriented
Strong communication skills both verbally and in writing (a writing sample may be required)
Experience in human services or non-profit environments is helpful
Organizational Relationship: Directly reports to Managing Director, GWHC
Physical Requirement: Must be able to climb stairs.
Working Conditions: As part of the responsibilities of this position, the Administrative Assistant- Greater Worcester Housing Connection will have direct or incidental contact with clients served by SMOC in various programs funded or administered through the Executive Office of Health and Human Services.
Remote Work Option: Remote work is permissible in some positions at SMOC depending on the key functions and responsibilities. The Administrative Assistant position is eligible to work from home 0-20% of the week in scheduling coordination with the department manager.
