State of Massachusetts Clerk III in Westfield, Massachusetts

Western Massachusetts Hospital (WMH) is currently seeking a dynamic applicant for the position of Hospital Clerk. The selected candidate will provide administrative duties for the hospitals’ Department of Quality Improvement and Infection Control. Western Massachusetts Hospital located in Westfield, MA is a 87-bed long term medical and specialty care hospital owned and operated by the Department of Public Health (DPH). Please note: The hours for this position are 8:00 am - 4:00 pm Monday-Friday with Saturday and Sunday as the days off. _Duties and Responsibilities (these duties are a general summary and not all inclusive):_ * Maintains and enters data into hospital database system, including medication events, Incident Reports, various Infection Control information, Rapid Response, Unplanned Transfer, and other projects/initiatives. * Compiles statistical information to be included in monthly, quarterly, and other reports; enters information into tables, spreadsheets, graphs and databases as requested. * Provides overall clerical support to the Department which may include drafting letters/emails, filing, copying, proofreading, taking messages, sorting mail, and ordering supplies. * Drafts policies, procedures, memos, meeting minutes, makes revisions and distributes as directed. * Proofreads material for grammar, punctuation, spelling, format, accuracy, and completeness. * Assists with Joint Commission readiness activities as requested. * Conducts on-the-job training of assigned employees concerning routine clerical procedures and agency policies. * Coordinates Satisfaction Surveys as instructed, including mailings, and receipt of inpatient responses facilitated by WMH staff. * Maintains the Incident Report Access and Medication Event databases, requests and documents follow-up as directed. _Required Qualifications:_ * Knowledge of clerical office practices and procedures including office record keeping, office correspondence control, types and uses of office equipment and supplies, business letter preparation, and report preparation, etc. * Demonstrated knowledge of the types and applications of standard office filing systems. * Ability to use proper English grammar, punctuation and spelling. * Skilled in maintaining accurate records and exercising discretion in handling confidential information. * Talent for establishing and maintaining harmonious working relationships and dealing tactfully with others. _Preferred Qualifications:_ * Capacity to work under pressure with fluctuating deadlines and priorities. * Team centered cooperative work philosophy; professional demeanor and approach to work. * Capability to work on and prioritize multiple projects simultaneously, in a fast paced environment. * Demonstrate strong customer service through a positive attitude of approachability, adaptability, problem solving and desire to support staff. * Proficient use of Microsoft Products including Word, Excel, Access, and Outlook. _About Western Massachusetts Hospital:_ Western Massachusetts Hospital is the only public hospital operating in the western region of Massachusetts with a mission to serve as a medical safety net for many uninsured and under-insured citizens residing in the region.
