OR Associate, Endoscopy Unit

(Please note: this is a clerical role)

Baystate Health, a nationally recognized leader in healthcare quality and safety, is looking for a full time OR Associate to join our team in Springfield, MA.

SCHEDULE:

• 40 hours, day shift

LOCATION:

• BMC campus

• Springfield MA

Summary:

Reports to the Clinical Nurse Manager but daily activities are coordinated by the charge nurse.

Works with patient and family centered care teams to insure all business functions related to processing patient information, managing documentation, and organizing patient medical records are complete and 100% accurate. Files appropriate patient reports and other information for their records. Facilitates communication among staff, relaying messages/information and running errands. Facilitates patient throughput on the unit. Handles non-clinical admission for patients admitted directly to unit. Acts as receptionist for visitors to unit. Orients patients and families to the unit, answering routine questions. Must possess basic computer and word program skills. Must have the ability to type. This description covers the essential functions of the position. Incumbent is expected to perform other similar and related duties as assigned.

Job Responsibilities:

Surgical Case Schedule-Participates in the production of the OR schedule.

  • Understands and follows procedures for taking incoming calls from physician offices, collecting necessary data for patient booking.

  • Develops understanding of schedule deadlines and timing of responsibilities between Access Services, physician offices and OR desk.

Medical Record Management- Initiates maintains and completes hospital records and logs.

  • Completes patient admission to include the PAE charts and green pre-op assessment sheets and registration process.

  • Maintains chart in proper sequence and applies patient stickers with patient's name daily. Files chart copies and other records daily accurately as directed by charge nurse or Manager.

  • Works with charge nurse to develop and update the add-on list. Prepares medical records for add-on cases, faxes and or copies medical records.

  • Maintains, duplicates and distributes logs, records, reports, files and statistics as required with accuracy 90-95% of the time, as specified by manager.

  • Maintains accuracy of patient chart- correct stickers, office paperwork etc.

  • Converts patients to inpatient status as directed.

Develops proficiency with Advantrax system and accurately inputs and maintains patient information into the system as needed and demonstrates ability to make additions or changes as necessary

  • Develops proficiency in the use of CIS and SMS systems and accurately inputs and maintains patient information into these systems as needed and demonstrates ability to make additions or changes as necessary.

  • Requests charts and face sheets from other areas as directed by nursing staff, which can involve the use of CIS.

  • Is able to locate patients in CIS and SMS with 100% accuracy.

Effective Customer Service Skills- Contributes to providing customer service for our patients and their families.

  • Communicates effectively with the control desk to facilitate the flow of the daily surgical activities.

  • Maintains patient privacy and confidentiality at all times according to the established hospital procedures to ensure that the dignity and respect of all patients are maintained.

  • Works courteously and efficiently to handle the requests of OR, Surgical Suites and Endoscopy staff at the reception desk.

  • Works courteously and efficiently with residents and other BMC staff who come to or call the reception desk for schedules and other patient information.

  • Assists individuals with information or directions whenever required or when individuals appear in need of help.

  • Tactfully handles difficult situations with patients, visitors and co-workers. Maintains the patients/customers sense of self worth and dignity in difficult situations.

Teamwork- Recognizes the importance of teamwork and its impact upon the effective and efficient operations of the department.

  • Works collaboratively and cooperatively with the professional staff to assist with clerical functions that would provide efficient patient processing throughout the system as evidenced by department supervisory staff.

  • Demonstrates good rapport and cooperative working relationships with peers, medical practices, physicians, nurses and other BMC departments including outside medical and/or related personnel.

  • Recognizes the value and contributions of fellow employees as demonstrated by cooperation and teamwork.

QUALIFICATIONS:

This position is part of a career ladder and level will be determined by the organization. Unless otherwise required by certification, licensure or registration, an equivalent combination of education and experience which provides proficiency in the areas of responsibility listed in this description may be substituted for the minimally required education and/or experience listed.

OR Associate I

High School, GED or equivalent experience.

Previous clerical and customer service preferred

OR Associate II

High School, GED or equivalent experience

Minimum of 6 months in OR setting

Computer literate, good interpersonal skills

The base pay range shown above considers the wide range of factors that are considered in making compensation decisions including knowledge/skills; relevant experience and training; education/certifications/licensure; and other business and organizational factors. This base pay range does not include our comprehensive benefits package and any incentive payments that may be applicable to this role.
