Baystate Health Executive Assistant in Springfield, Massachusetts

Baystate Health , a nationally recognized leader in healthcare quality and safety, and home to Baystate Medical Center (BMC), and the region's only level 1 trauma center is looking for a full-time Executive Assistant to support the Chair to the Department of OB/GYN in Springfield, MA.

RESPONSIBILITIES:

Baystate Health, Executive Assistants perform varied and extensive administrative and secretarial duties such as composing and typing complex correspondence, relaying confidential information, gathering and interpreting information to develop complex reports, maintaining departmental files, and assisting in monitoring departmental budgets. Is responsible for the coordination of the Chair’s administrative calendar including scheduling and coordination of internal and external meetings and events. Acts as the program administrator for Obstetrics and Gynecology faculty promotions. Interacts with a wide variety of personnel including executives, medical staff, and other internal and external contacts. Uses discretion and judgment when screening visitors and telephone calls, relaying confidential information, planning and organizing workload, and may direct the work of clerical support personnel to ensure established priorities are met. Represents the department in the resolution of problems, the exchange of information, and the interpretation of departmental policy and procedures.

SCHEDULE:

  • Full-time – 8:00am-4:30pm Monday through Friday.

  • Option to work 1 day remote after successful completion of orientation period

  • No weekends, No holidays

  • Baystate Medical Center- 759 Chestnut St.

  • Springfield, MA

QUALIFICATIONS:

  • High School Diploma or GED, required

  • Minimum of 5 years of executive assistant or administrative assistant experience, preferred

  • Intermediate to advanced knowledge of Microsoft Office Suite, preferred

  • Expected to demonstrate sound judgment, strong interpersonal skills, and role model the BH Operating Principles

  • Highly motivated, demonstrates problem-solving and advanced organizational skills, and can work with little guidance

  • Ability to manage multiple set priorities, support projects of varied scopes, and maintain confidentiality
