ESSENTIAL FUNCTIONS Perform general reception tasks; answer phones; greet visitors and staff, directing them to appropriate areas, individuals or resources. Manage incoming mail (sort and distribute) and outgoing mail (weighing and applying proper postage). Maintain and update daily workshop and training schedule and post daily agenda of training and workshops after confirming instructor\'s attendance. Coordinate, monitor and track center visitors for partner staff, for example, the Unemployment Insurance representative and the Veterans representative. Enter required data in Career Center computer system, MOSES, including job expo applications and unemployment insurance customers with new applications. Maintain reception area. Schedule customers for fee-based workshops, collect payments, generate receipts, submit payments to the Accounting Specialist and request credits and process fee waivers, as needed. Screen customers for Veteran priority of service, as well as those for Migrant Seasonal Farm Workers. Maintain job placement books for the Resource Room, as well as workshop forms and handouts to ensure customers and staff have all the necessary information. Ensure confidentiality within all areas of responsibility. Follow all procedures pertaining to the Center\'s policies while recommending changes to policies and procedures when necessary. Perform additional duties as required. QUALIFICATIONS High School Diploma or equivalent required. Two or more years of administrative and/or reception experience required. Bi-lingual language skills (English/Spanish) preferred; strong communication skills in writing and speaking. Proficiency with Microsoft Office (Outlook, Word, Excel, etc.). Strong organization, listening and problem-solving skills required. Ability to deliver high level of customer service/satisfaction with both internal and external customers. Ability to execute multiple priorities, in a fast-paced environment; ability to work with a diverse population. Demonstrated reliability and dependability.
