State of Massachusetts Clerk IV - SBCC in Shirley, Massachusetts
Duties: External candidates, the non-negotiable annual salary for this position is $50,239.28 (NAGE Unit 1, Grade 13, Step 1) Maintain updated and accurate filing for Unit Team. Schedule all institutional cell searches in the Inmate Management System (IMS). Complete monthly cell search compliance letters for the institution. Works well in a group setting and independently. Answer Unit TeamIncarcerated Individuals Informal Complaint’s as well as input in tracking system. Compile and post memos for housing units. Update monthly Incarcerated Individuals Recreation schedule and distribute to Unit Team staff. Audit completed cell searches, activity logs and visitor logs in IMS to ensure information is up to date and accurate. Respond to Incarcerated Individuals correspondence for Unit Team Directors. Attend Unit Team meetings. Work with Deputy of Classification/Reentry to maintain updated documentation for ADA Accommodations for Incarcerated Individuals within the housing units. Complete and maintain accurate payroll for housing units. Update Incarcerated Individuals Housing Unit and Accountability rosters as needed. Monitor and track tablets along with state issue requests. Other duties as assigned. Preferred Qualifications: Proficient in Microsoft word and excel. Highly organized and motivated. Knowledge of clerical office practices, office correspondence control, types and uses of office equipment and supplies, business letter and report preparations, etc. Knowledge of business English including spelling, word meaning and word usage. Knowledge of standard office practices relative to handling of incoming mail. Knowledge of the types of standard applications of standard office filing systems. Ability to exercise discretion in handling confidential information. Ability to follow oral and written instructions. Ability to deal tactfully with others.* *Comments: This is a Civil Service position. Please note that salaries for union positions are determined according to the provisions of the respective collective bargaining agreement. Applicants must have at least (A) three years of full-time, or equivalent part-time, experience in office work, or (B) and equivalent combination of the required experience and the substitutions below: I. A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for a maximum of one year of the required experience.* II. A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required experience.* III. A diploma for completion of a one year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum or one year of the required experience.* IV. A diploma for completion of a two-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for two years of the required experience.
