Berkshire Heart and Mind Therapy Executive Office Assistant in Pittsfield, Massachusetts
Berkshire Heart and Mind Therapy is excited to invite applications for a full-time Executive Administrative Assistant. This role requires 40 hours per week, Monday through Friday, where you\'ll provide critical support to our front and back-end operations. Your responsibilities will include scheduling client calls, managing billing, offering client support, and ensuring our dedicated staff have the assistance they need to excel. Our mental health group practice, located in Pittsfield, Massachusetts, is in search of a highly organized and detail-oriented individual. The successful candidate will be an invaluable part of our administrative team, adept at multitasking, and committed to providing comprehensive support in a dynamic and fast-paced environment. Responsibilities: Communication Hub: Serve as the primary point of contact for the office, managing calls, inquiries, and ensuring effective communication flow. Organize and schedule staff schedules, meetings and events, including room bookings, invites, and agenda preparation. Information Management: Maintain accurate and efficient filing systems and keep contact lists up-to-date for seamless communication. Logistics and Support: Manage the procurement of office supplies and ensure cost-effective resource management. Client Care: Provide a welcoming presence for visitors and manage client appointments with precision using scheduling software. Executive Support: Coordinate executive schedules, prepare and organize documents, and assist with financial tasks such as billing and bookkeeping. Maintain confidentiality of sensitive information. Qualifications: - High school diploma or equivalent; an associate?s or bachelor?s degree is preferred. - Proven experience as an Administrative Assistant, Virtual Assistant, or similar role. - Proficiency in MS Office Suite, particularly MS Excel and MS PowerPoint. - Familiarity with EHR platforms used for billing and client records. - Strong organizational skills and the ability to manage multiple tasks. - Excellent communication skills, both written and verbal. - Being bilingual is highly preferred but not required. - Align with Berkshire Heart and Mind Therapy\'s mission, vision, and values. - Must be punctual in reporting to work. - Be organized and detail oriented. - Be a team player. - Be able to work independently on tasks assigned. - Have strong written and verbal communication skills and strong interpersonal skills. Additional Requirements: I-9 documentation and a valid state ID.
