State of Massachusetts Lead Staffing Coordinator - Nursing Department in Holyoke, Massachusetts

The Soldiers’ Home in Holyoke is seeking an organized and detail-oriented Lead Staffing Coordinator who can provide supervision to all clerical staff within the Nursing Department. Under the general direction of the Staffing Department Manager, the incumbent for this position will be responsible for the overall coordination of staffing and work procedures to ensure the efficient and effective workflow within the Home.

*Duties and Responsibilities (these duties are a general summary and not all inclusive):*

  • Oversees Nursing Department scheduling system on a daily basis by inputting information for all shifts and units manually into personal computer and makes appropriate adjustments according to policy.

  • Oversees the maintenance of various department records and reports performance reviews, licenses and certification renewal dates, and pool and per diem utilization.

  • Responsible for the hiring and onboarding of direct care Nursing staff.

  • Approves and monitors approval and denial of leave requests.

  • Types materials such as correspondence, reports, memorandums, etc.

  • Files materials such as correspondence, license documents, reports, attendance records, etc.

  • Oversees payroll processing and updates payroll information.

  • Supervises staffing office personnel and ensures processes are followed.

  • Attends assigned meetings such as staff and scheduling meeting and labor meetings when required.

*Schedule:*

  • This is a full-time (37.5 hours/week) position working Monday-Friday from 8:00 am – 4:00 pm

  • Note: This is a 24 hour/7 days a week facility. The Soldiers' Home in Holyoke may require this individual to be present during nontraditional hours when circumstances dictate the operational need.

*Preferred Qualifications:*

  • Proficient in Microsoft applications to include Outlook, Excel and Word

  • Ability to coordinate the efforts of others in accomplishing assigned work tasks

  • Ability to exercise discretion in handling confidential information

  • Proficient in critical thinking and problem solving

  • Ability to communicate effectively both in person as well as in writing and/or over the phone

Applicants must have at least (A) five years of full-time, or equivalent part-time, experience in office work, of which (B) at least two years must have been in a supervisory or administrative capacity, or (C) and equivalent combination of the required experience and the substitutions below:

I. A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for a maximum of one year of the required experience. *

II. A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required experience. *

III. A diploma for completion of a one year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum or one year of the required experience. *

IV. A diploma for completion of a two-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for two years of the required experience.*

  • Education toward such a degree or diploma will be prorated on the basis of the proportion of the requirements actually completed.
