State of Massachusetts Unit Clerk in Fall River, Massachusetts
The Dr. John C. Corrigan Mental Health Center (JCCMHC) is seeking a candidate to work on the Inpatient Unit to create and maintain patient charts; type correspondences; Create and maintain databases; answer incoming calls; handle daily incoming and outgoing mail correspondences; complete daily reports; attend and take meeting notes; schedule appointments with outside providers; and provides coverage to the Reception Desk as needed.
Please Note: This position is 37.5 hours per week. The selected candidates will work on the 1st shift 8:00 am - 4:00 pm. Days off: Sunday and Saturday.
_Duties and Responsibilities (these duties and responsibilities are not all inclusive):_
Maintains all Inpatient Unit records in order to comply with Joint Commission and Centers for Medicare and Medicaid regulations for all patients on the Inpatient Unit.
Responsible for opening of the medical record for all patients admitted to the Inpatient Unit to include a patient hospital number, in a timely manner.
Utilize the computer to type material as requested by supervisor and to develop and maintain databases, which include statistical information, patient list of discharge/admissions, HIV Risk Assessments, Utilization Management and other patient information of quality indicators
File material such as correspondence, lab reports, consultations, medication sheet, and physician’s order sheets and miscellaneous in a timely fashion as directed by charge nurse.
Schedule appointments for patients with hospitals and other community agencies when needed in a timely manner.
Answer incoming telephone calls to the Inpatient Unit and take and deliver messages as received. Provide routine information concerning Unit activity according to established procedure.
Receive mail from central mailroom on a daily basis and distribute to appropriate staff.
Forward to Billing Department on a daily basis the daily ward summary, new patient insurance, form with notation of Release of Information signed or not completed MD encounter forms from previous day.
Assemble medical record charts in preparation for admission.
Responsible for routine typing of letters, court documents or reports for Social Work, Nursing and Medicine as assigned by supervisor.
Interact in a professional and courteous manner with all staff within and from other agencies and maintain confidentiality when conversing with community agencies and families.
Maintain a supply of forms used by Inpatient Unit nursing and Social Work staff.
Split charts when necessary and obtain closed medical records for medical records department as needed for Nursing and Social Work to assist with continuity of care.
Update Inpatient Roster, copy and distribute to physicians and nurses and E-Mail a copy to designated Fall River and Area staff daily.
Monitor Inpatient ER visits and track completion of consult sheets, report departure and return times to Medical Records Department and give a copy of the consult letter to the Billing Department.
Complete Daily Ward Summary for Billing Department and Medical Records Department.
Collect all Inpatient Incident Reports and make a copy for the Inpatient Unit Supervisor, remove yellow copy and file in the binder in the Unit Director’s Office and send original to Risk Management Department on a daily basis.
Provide clerical support to the Fall River Site to include providing coverage to the main desk/switchboard/reception area and Partial Hospital programs as assigned.
Attends Inpatient Meetings and takes notes for distribution to appropriate staff.
Two years of full time or equivalent part time experience in office work
- Experience working with Microsoft Word, Excel and Mental Health Information System (MHIS).

Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in office work, or (B) an equivalent combination of the required experience and the substitutions below:
I. A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for a maximum of one year of the required experience.**

A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required experience.**
III. A diploma for completion of a one year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum or one year of the required experience.**
IV. A diploma for completion of a two-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for the required experience.*
