SENIOR ADMINISTRATIVE ASSISTANT, Office of the Vice Chancellor, under minimal supervision, will perform complex and diverse administrative duties in direct support of the Vice Chancellor (VC) including complex calendar support; acting as a receptionist; screening phone calls and visitors; assisting with or responding to internal requests for information and reports; arranging meetings and taking minutes; maintenance of electronic and paper files; planning and coordinating high-profile events and meetings, coordination of complex travel arrangements and maintenance of necessary supporting documentation; may provide support to other HQ staff and will work closely with the other Headquarters (HQ) Administrative Assistant to help ensure the smooth operation of the suite; manage the VC’s calendar and schedule diverse and complex appointments and meetings; organize meeting materials and ensure the VC has appropriate preparation time before meetings; and serve as the primary source of information on the VC’s schedule.
Job Requirements
REQUIRED: A High school diploma or equivalent and a minimum of five years of administrative support experience or related experience; good organizational and interpersonal skills and ability to multi-task in a work environment with changing priorities; ability to take initiative, set priorities, and make independent decisions to effectively maintain the VC’s calendar and activities; ability to approach problems creatively and resourcefully; excellent judgment, discretion, and ability to sensitively handle matters of a complex and sometimes confidential nature with tact and diplomacy; proficiency with email, calendaring software, Word, FileMaker Pro, Excel PowerPoint, Concur, and web publishing software or willingness and ability to learn new systems; and excellent grammar, writing skills, accuracy, and attention to detail. Full-Time, 40 hours/week; In office required Monday – Friday, with some occasions to work remotely.
Occasional night and weekend hours may be required.
Hiring range: $32.00 - $37.00/hour, determined by relevant experience and education.
