Must have demonstrated ability to take initiative, meet deadlines, and provide excellent customer service; must be an effective user of MS Office systems and basic understanding of database and calendaring systems.

Administrative/Supervision Support

  • Plan and coordinate events for the larger Graduate Commons community at Harvard@Trilogy and residents of Vanderbilt Hall;

  • Supervise resident and community advisor staff of Vanderbilt Hall;

  • Support Program Manager efforts across the portfolio;

  • Act as point of contact for Resident Advisor staff handling student crises after hours and escalate issues as needed;

  • Respond to student emergencies during business hours and escalate as needed;

  • Develop connections with faculty, staff and students across the university;

  • Communicate with Property Management Office regarding maintenance work orders and facilities requests;

  • Coordinate events in collaboration with Faculty Directors and Program Manager and Vanderbilt Resident/Community Advisors;

  • Assist with coordination of meetings, programs, and other programs for residents and groups;

  • Monitor the room reservation and event calendar to ensure cohesion across the portfolio;

  • Provide website and social media updates and support;

  • Maintain financial records and records on program participation levels;

  • Evaluate the effectiveness of programming efforts and adjust programming plan;

  • Utilize appropriate communication tools and strategies to promote involvement in programs;

  • Participate in appropriate meetings and events across campus

HUH Collaboration:

  • The PC will maintain a close relationship with both the HUH Operations and Leasing teams to ensure correct information is passed to residents, including policies and procedures, common room reservations, move-in and move-out information and any emergency notifications.

  • Contribute to the overall success and growth of the Graduate Commons Program by performing all other duties as assigned.

Unit Summary

Harvard University Housing & Real Estate (HUHRE) is a department within Harvard Campus Services, a multi-department organization within Harvard’s Central Administration. HUHRE supports the University’s educational and research efforts by offering Harvard affiliates a wide array of housing and real estate services in University-owned properties which are conveniently located, competitively priced, and professionally managed to residents and tenants alike. HUHRE serves as the asset manager for Harvard’s portfolio of commercial spaces and centrally stewarded institutional assets, overseeing the leasing and operations of University-owned institutional space for Harvard affiliates and commercial spaces for rent by private retail tenants within the Cambridge, and Greater Boston area.

HUHRE manages a broad range of initiatives and assets to help support the Harvard community. These include, but are not limited to:

  • Leasing, managing, and renewing Harvard-owned housing as well as Harvard offices/institutional spaces, and commercial real estate portfolios

  • Leading community engagement and programming opportunities

  • Managing relationships with external partners and vendors

  • Working within the larger University community to develop and coordinate University-wide policies and strategies

  • Supporting new University housing and real estate development projects across the Cambridge and Greater Boston area

Job Summary

Reporting to a GCP Program Manager, the Program Coordinator (PC) is responsible for the management and motivation of the 20 plus para-professional community and resident advisors in the Vanderbilt Hall residential Community. The PC develops and executes programmatic plans that promote graduate student success and interaction through academic, career, social, and service focused events for both the Harvard@Trilogy and Vanderbilt communities. Events will enhance co-curricular learning, develop a strong sense of community and promote resident wellbeing, and the goals of the Graduate Commons as designed by the leadership of the Graduate Commons Program.

This is a live-on position without on-call responsibilities; however, crisis response and management will be required as needed. Attendance at evening events and training is essential for success of the overall program.

Department Summary

The Graduate Commons Program serves 3000 units and approximately 5500 residents across the entire Harvard University Housing portfolio. The inclusion of virtual programming and need for extensive resident support has also given way to a more complex and learning organization aimed at providing a quality experience for our residents.

The original staffing structure and job responsibilities have adjusted to meet the needs of the current population, including increased responsibility on the part of the Faculty Directors, and a new curriculum-based programming plan, focused on families; and a shift to topic area specific programming instead of geographic planning.

Working outside of the traditional School student life here at Harvard, the GCP has fostered collaborative relationships with each School’s Student Life leadership to ensure a consistent delivery of services and communication. This relationship positions the GCP as a campus and innovation leader when it comes to graduate student life and events.
