Provides administrative support to the Medical Staff office and Quality & Safety team.
Job Description:
The following statements are intended to describe the general nature and level of work being performed by individuals assigned to this position. They are not intended to be an exhaustive list of all duties, responsibilities and skills required of this position
Primary Responsibilities (including but not limited to)
Performs administrative duties and special projects for the department manager and directors. Schedules appointments for and maintains calendar of the directors.
Prepares agendas and collateral materials for the credentialing committees. Records minutes of meetings, monitors, follow-up of decisions and action items, and prepares monthly reports. Schedules monthly/bi-weekly meetings for the credentialing committee.
Maintains confidential departmental files, consisting of correspondence, schedules, correspondence, and reports.
Assists the directors of the department in the performance of their responsibilities (e.g., in disseminating information to staff regarding policies and procedures, and in special projects).
Coordinates the application process for medical staff privileges and credentialing and serves as liaison with department Chairs and assistants.
Answers, screens, and relays phone messages. Receives, delivers, and sends mail. Monitors Program Manager’s email account including providing follow-up and responding to all requests in a timely manner.
Working under the direction of the Program Manager will provide assistance in initiating, monitoring and reporting the verification processes for medical staff providers, both physicians and advanced practice staff. Processes applications for initial appointments and reappointments to the Medical Staff from recommendation by Department Chair and follows progress to final decision by the Board of Trustees.
Working under the direction of the Quality & Safety Directors, maintains and develops materials to support compliance and Joint Commission preparedness.
Working under the direction of the Program Manager, assists with the processing of departmental requests for initial credentialing and re-appointments in accordance with established policies, procedures, and timeframes. Conducts follow-up on missing data, discrepancies or other issues that could impact the turnaround time of a credentialing or re-appointment process.
Informs providers, Chairs, and department leaders of the status of the credentialing and verification process.
Receives sorts and distributes mail and makes copies, scans, emails for Quality & Safety department.
Orders and maintains supplies for the Medical Staff Office and the Quality & Safety teams.
Required Qualifications
Strong administrative skills. Associate's degree preferred or equivalent work experience. Excellent organizational skills and ability to work independently. Experience with Microsoft Office and website design software.
Good interpersonal skills and ability to deal effectively with clinical providers, the outside professional community, other hospital departments, and the public. Excellent telephone etiquette.
Ability to take independent responsibility for functions, with minimal supervision when trained.
Physical Requirements & Environment
Normal hospital and office environment.
Walking required to different buildings.
Utilizing communication skills (listening and speaking) at least 85% of the time.
