Medical Staff Coordinator, Days Per Diem/As Needed

I. Position Function:

The Medical Staff Coordinator, who works with the Hospital Administration and the Medical Staff, directs and coordinated administrative support and provides resources needed for the Attending Staff enabling them to fulfill their duties and obligations as defined by the Medical Staff Bylaws, Rules and Regulations as delegated by the hospital's Board of Trustees and national regulatory agencies.

II. Job Relationships:

Reports to the following:

  • Patient Care Assessment Coordinator

  • Medical Staff President

    Collaborates with the following staff:

  • Hospital President

  • Medical Staff Officers

  • Department Chairman and Division Chiefs

  • Department Administrators

  • Senior Vice President of Nursing

  • Department Secretaries

  • Medical Staff Committee Chairmen

    III. Authority:

    Has the authority and responsibility to query and report to the Massachusetts State Licensing Agencies.

    Has the authority and responsibility to query and report to the National Practitioner Data Bank.

    Has the authority to reorganize the department to meet the agreed upon objectives.

    Has the authority to receive and review clinical department reports/minutes, committee reports/minutes and physician confidential information.

    IV. A. Responsibilities/Essential Functions:

    1.) "Provides superior customer service to internal and external clients, customers,

    and patients as referenced in the Service Excellence Standards."

    Initiates, oversees, administers, verifies, compiles, manages and maintains confidential data required for credentialing of initial appointees applying to the staff.

    Initiates, oversees, administers, verifies, compiles, manages and maintains confidential data required for continuous credentialing/re-appointment.

    Oversees and assures compliance of monthly Medical Staff committees and Medical Staff meetings as addressed in the Medical Staff Bylaws, Rules and Regulations.

    Oversees, develops and maintains up-to-date Physician Tracking Computer system to record statistics for all currently approved appointees to be used for continuous credentialing purposes and statistical data needed for appropriate in-house departments.

    Maintains and updates Master Copy of the Medical Staff Bylaws, Rules and Regulations.

    Initiates, oversees and coordinates the physician application process for initial and renewal of TRACO malpractice insurance.

    Coordinates malpractice reimbursement payments for contracted physicians and maintains appropriate reimbursement files.

    Maintains minutes and prepares agendas and related materials for several medical staff committees.

    Annually prepares and adheres to departmenal budget.

    Meets with JCAHO physician surveyors and other state or federal surveyors to review current medical staff organization.

    Assists the Medical Staff President preparing correspondences and summarizing recommendations assuring that all deadlines and standards for due process are met.

    Provide administrative support services to Medical Staff Officers.

    Maintains knowledge of state laws and federal requirements.

    Improves professional growth, knowledge of job to maintain efficiency and effectiveness of the Medical Staff Office through membership in a professional organization (National Association of Medical Staff Services).

    Responsible for annual billing and collecting of Medical Staff dues.

    Maintains and updates physician information in Hospital SMS computer system to assure accurate data.

    Maintains and updates Patient Complaint computer file.

    B. Responsibilities/Non-Essential Functions:

    Reports to the Medical Staff President all issues pertaining to Credentialing and Appointment of the Medical Staff and other medical staff matters.

    Reports all operational matters of the Medical Staff Office to the Patient Care Assessment Coordinator, who serves as the immediate supervisor.

    VI. Accountability:

    Shall be accountable for abiding by all relevant hospital policies and procedures.

    Shall be accountable for maintaining the confidentiality and security of all hospital related, medical staff related, and patient related data and information.

    VII. Qualifications:

    Minimum Education:

    Associate Degree in Medical Staff Services or combination of education and management experience deemed equivalent.

    Minimum Experience:

    Three years in Medical Staff Services and/or five years in hospital management experience.

    Minimum skills/abilities:

    Basic computer skills.

    Medical Terminology knowledge.

    Communication and writing skills.

    The ability to listen to and communicate with patients and care givers in an impartial diplomatic manner as an effective independent ombudsman in providing support in resolving problems.


    Certified Medical Staff Professional preferred.


    Training in Medical Staff Credentialing.

    Special Qualifications:

    Demonstrates good judgment, assertiveness, dependability in performance of his/her role as Medical Staff Coordinator.

    The ability to communicate clearly and professionally with hospital personnel at all levels.

    Possesses a high skill level of independent practice, problem solving and decision making abilities.

    Ability to be flexible and to perform efficiently and competently.
