The Registry of Vital Records and Statistics (RVRS) is seeking a staff member to supervise a team of five employees in the Remote Issuance section of its Certifications and Operations Unit. The ideal candidate will be detail-oriented and organized, can multi-task, be proficient with Microsoft Office applications, and have strong supervisory skills and experience. _Duties and Responsibilities (these duties are a general summary and not all inclusive):_ * Supervise, coordinate, and monitor the certification and issuance of vital records in the remote issuance section of the Certification Unit. * Oversee customer support for the remote issuance section of the Certification Unit by ensuring the satisfactory resolution of customer inquiries related to record issuance. * Oversee the timely receipt and processing of orders for certified copies of vital records through internet sources and electronic media. * Oversee a tracking system for all returned refund checks and ensures that all returned mail is tracked and re-issued. * Act as a business lead for the business systems development team to ensure that the incoming systems integrate seamlessly with existing and future RVRS systems. * Responds to inquiries, provides assistance, and advises agency personnel concerning the certification of vital records ensuring compliance with established RVRS policies, procedures, laws and regulations. _Required Qualifications:_ * Capability to communicate and supervise effectively. * Ability to understand, explain and apply the laws, rules, regulations, policies, procedures, etc., governing assigned unit activities. * Able to gather information by examining records and documents and questioning individuals. * Capable to multi-task, prioritize and the ability to maintain accurate records. * Able to assist customers of diverse backgrounds. * Capability to write concisely, to express thoughts clearly, and to develop ideas in logical sequence. _Preferred Qualifications:_ * Understanding of the laws, rules, regulations, policies, procedures, specifications, standards and guidelines governing the certification of vital records. * Awareness of the organizational structure and function of the Department of Public Health. * Knowledge of the proper procedure for making and receiving agency telephone calls. * Understanding of the types of uses of agency forms, particularly those used in the certification of vital events. * Knowledge of the principles, practices, and techniques of supervision. _About the Department of Public Health:_ The mission of the Massachusetts Department of Public Health (DPH) is to prevent illness, injury, and premature death, to assure access to high quality public health and health care services, and to promote wellness and health equity for all people in the Commonwealth. An Associate’s or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.
