The Program Coordinator I supports the Complex Care Services (https://www.childrenshospital.org/departments/general-pediatrics/training-and-fellowships/complex-care-fellowship) , General Academic Pediatrics (https://www.childrenshospital.org/departments/general-pediatrics/training-and-fellowships/general-academic-pediatrics-fellowship) , Harvard-wide Pediatric Health Services Research (https://dme.childrenshospital.org/graduate-medical-education/trainings-programs/harvard-wide-pediatric-health-services-research-fellowship/) , and Pediatric Hospital Medicine (https://www.childrenshospital.org/departments/general-pediatrics/training-and-fellowships/pediatric-hospital-medicine-fellowship) fellowship programs. Responsibilities include assisting with rotation schedules, preparing annual reports, updating program documents, and supporting fellows through onboarding and offboarding. The role also involves setting up interviews, attending monthly GME meetings, and completing training in Graduate Medical Education (GME) to ensure compliance and effective program management.

The ideal candidate will have strong administrative experience, organizational skills, and the ability to multitask. They should be detail-oriented, adaptable, and self-motivated, with a background in healthcare, research, or education being a plus. A Bachelor's degree is preferred but not required. The role requires someone proactive and capable of adjusting to evolving needs while ensuring the smooth operation of the fellowship programs.

The Program Coordinator I will be responsible for:

  • Coordinating activities and daily operations of a program.

  • Preparing or assisting in the preparation of proposals for funding and/or funding continuation from outside sponsors.

  • Conferring with staff and others to provide technical advice, providing problem-solving assistance, and answering questions about the program and its goals. Referring inquiries to others as needed.

  • Preparing or assisting in the preparation of periodic reports and records on program activities, progress, status, or other special reports for management or outside agencies.

  • Reviewing applications or other program documents in conjunction with the supervisor to determine acceptance or making decisions pertaining to the program.

  • Assisting in the coordination of recruitment efforts.

  • Drafting written communication and promotional literature.

  • Assisting in planning workshops, meetings, or conferences; coordinating logistics, scheduling, and participant communications.

  • Interacting and maintaining liaison with staff, faculty, and outside/community agencies in facilitating program objectives.

To qualify, you must have:

  • Associate’s degree required. Bachelor's degree preferred.

  • One year of relevant experience.

  • The ability to communicate effectively both orally and in writing and provide empathy in difficult interpersonal situations.

  • The ability to work with diverse internal and external constituencies.
