Dana-Farber Cancer Institute Pathology Records Specialist in Boston, Massachusetts

The Pathology Records Specialist is responsible for the effective coordination and organization of Pathology materials required for a new patient visit. Provides administrative support and coordination for aspects of patient care for new patients and may flex across multiple disease centers or assist in scheduling tasks.

This position’s work location is partial remote with two days remote and three days per week onsite. The selected candidate may only work remotely from a New England state (ME, VT, NH, MA, CT, RI). The position will be fully onsite during the initial training period (approximately 60 days).

  • Uses electronic tracking systems to thoroughly document progress in all tasks, including retrieval of pertinent patient Pathology materials.

  • Uses standard processes and protocols to monitor and follow up with patients, hospitals, and other parties on materials status.

  • Maintains standard communication with DFCI clinical and support staff with regard to status of patient Pathology materials.

  • Assists in processing paperwork and completing administrative tasks associated with clinical care including managing materials requests and submitting orders.

  • Sends out Pathology related patient correspondence to ordering providers when pathology is processed but appointments are completed.

  • Responds to emails and manages other requests as appropriate for patients.

  • Resolves problems independently, communications with record specialists and providers, collaborates with the Central Pathology Processing team and appropriately escalates issues to management.

  • Possesses a level of independence requiring knowledge of multiple disease specific programs.

  • Provides administrative support and coordination for all aspects of the patient’s pathology needs.

  • Triages issues and answers general questions, with the goal of resolving requests in real time.

  • Recognizes emergencies and appropriately responds using standard operating procedures and critical thinking skills.

  • Can comprehend and implement new concepts or modifications to process requests quickly.

  • Ensures clinical team has all needed Pathology related material to ensure quality clinical care and adherence to standard operating procedures and compliance requirements.

  • Appropriately identifies the needs of the patient as it pertains to their pathology materials, i.e. coordinates receipt of tissue, identifying when materials aren’t complete, haven’t arrived timely, ensuring orders are canceled so erroneous bills aren’t submitted.

  • Answers telephone calls, responds to emails, collaborates, and interacts with other schedulers/record specialists/other departments and outside institutions. Serves as the source of information for pathology material needs.

  • Strives to meet defined service levels and meet key performance indicators.

  • Assists in the training of new staff.

  • Other duties and responsibilities as required.

  • A Bachelor’s Degree in health administration or related field is strongly preferred , and/or a minimum of 1 year of related health care and/or customer service experience.
