Description

We are in search of a Front Desk Coordinator to join our team in the Real Estate Property/Facilities Management industry, located in Boston, Massachusetts. As a Part-Time Front Office Assistant, your primary tasks will involve handling multiple telephone lines, managing customer inquiries, and maintaining precise records. This position offers a short term contract employment opportunity.

Responsibilities:

• Efficiently handle a multi-line telephone system and redirect calls to the appropriate personnel or department.

• Provide accurate and comprehensive information to callers about our firm, including location, directions, and staff contact details.

• Welcome incoming visitors, screen them professionally, and promptly inform the relevant personnel of their arrival.

• Manage the key check-out system with high efficiency.

• Sign for courier deliveries and pick-ups and promptly notify the concerned personnel.

• Collect mail, open it, and sort it into categories such as checks, invoices, and correspondences.

• Distribute invoices/correspondences to managers for approval and categorization on behalf of the Vice President.

• Operate standard office equipment such as postage machine, folding machine, and fax/copier/scanner.

• Prepare and stamp mailings as created by office staff, including printed checks.

• Maintain supply of paper in copier/fax machine and distribute printed materials.

• Perform daily filing duties for management reports.

• Update the database with client information changes as received.

• Keep common office areas clean and presentable for our clients.

• Create and maintain proper response letters for various incoming correspondences.

• Scan and upload management report correspondences.

• Review and edit scanned management reports as needed.

Requirements • Possess strong customer service skills, with the ability to professionally interact with tenants, vendors, and staff.

• Proficient in answering inbound calls, effectively addressing inquiries, and ensuring customer satisfaction.

• Experience as a part-time receptionist in a busy office environment is desired.

• Ability to handle a variety of receptionist duties, including greeting visitors, scheduling appointments, and managing correspondence.
