State of Massachusetts Outpatient/Ambulatory Care Center Clerk in Boston, Massachusetts

The Lemuel Shattuck Hospital, operated by the Massachusetts Department of Public Health (DPH), is seeking an experienced and detail-oriented Clerk (Clerk III) for the Ambulatory Care Center/Outpatient Department at the campus in Jamaica Plain. The Clerk assists with a variety of clerical duties in the Ambulatory Care Center. The incumbent provides desk assistance and is responsible for retrieving all phone calls and provides excellent customer service when communicating with patients, staff, and vendors. The Clerk coordinates the timely retrieval of all incoming prescription and paperwork requests. Responds to all staff needs in the Ambulatory Care Center related to necessary communications with other floors, disciplines, outside clinicians and facilities. _Please Note_: The hours for this position are 9:00 a.m. to 5:00 p.m., (37.5 hours per week) Monday through Friday, with Saturdays and Sundays off. _Duties and Responsibilities (These are a general summary and not all inclusive)_: * Cover the desk in the Ambulatory Care Center from 9:00 am to 5:00 pm. * Respond to all telephone calls in a timely manner and refers calls to appropriate parties. * Retrieve all messages and reports messages to appropriate parties. * Retrieves all incoming prescription / paperwork requests and disseminates for completion and processes all outgoing prescription / paperwork and ensures delivery. * Stock paper in fax machine, copier, and both printers (also monitors each machine for needed service and request services as needed). * Retrieve information from both printers and fax machines and disperses to appropriate person / place. * Maintains adequate levels of forms in the supply closet, at the desk, EHO, and in the form station. * Printout clinic schedule for the next day. * Maintains adequate supplies of Employee Health Office Needle Stick packets and New Employee packets. _Required Qualifications_: * Knowledge of the English language including spelling, word meaning and word usage. * Ability to understand and apply the laws, rules, policies, and procedures governing assigned unit activities. * Ability to read, write, and comprehend the English language. * Ability to use proper grammar, punctuation, and spelling. * Ability to follow written and oral instructions. _Preferred Qualifications_: * Knowledge of clerical office practices and procedures including recordkeeping, office correspondence control, typing and use of office equipment, supplies and business preparation. * Understanding of best practices for relationship building and effective collaboration. * High level of self-motivation and accountability, bringing enthusiasm and energy to team and tasks * Detail-oriented and highly organized, with strong ability to successfully multi-task * Strong written and oral communication skills, and proficiency in Microsoft Office applications including Excel, Outlook, PowerPoint, Teams, and Word _About the Lemuel Shattuck Hospital:_ Shattuck provides a safety net for patients referred by teaching and community hospitals that require extended care and is an essential health care provider for patients facing challenges accessing high quality healthcare. The hospital is on the front lines of the opiate epidemic, leading in the innovative treatment of substance use disorders. Shattuck provides a full range of services including acute care supported by a Medical Intermediate Care Unit, surgical services, telemetry, anesthesiology, pulmonary services, orthopedics, rehabilitative medicine, PICC/central line placement, advanced wound care, chemotherapy, and telemedicine. Comprehensive ancillaries and procedures include full clinical lab/pathology, CT and MRI, on-site pharmacy, sleep studies, EKG/ECHO and EEG. In addition to the main hospital, 25 outpatient clinics coordinate “one-stop” medical and mental health care and offer the only ambulatory surgical service among the state hospitals.
