Ophthalmic Consultants of Boston Optical Shop Coordinator in Boston, Massachusetts

Ophthalmic Consultants of Boston has an exciting opportunity for an Optical Shop Business Coordinator in our Boston location. This is a full-time position (37.5 hours per week).

This position is responsible for greeting patients/customers and answer incoming phone calls. Responsibilities include taking contact lens orders over the phone and through e-mail, processing contact lens orders and dispensing lenses to patients or optometrists. Also, responsible for assisting patients as they wait to be serviced by optician staff.

  • Answers patient questions, processes patient purchases.

  • Records contact lens orders received via phone, tasks, or e-mail.

  • Orders contact lenses per contact lens tasks or outside prescriptions via the Internet or by phone.

  • Receives contact lenses from suppliers and checks lenses against order forms for accuracy.

  • Obtains pre-authorization/pre-certification from insurance carriers for any contact lenses that are covered by insurance, specifically keratoconic lenses.

  • Accurately fills out encounter forms to process billing of contact lenses.

  • Obtains patient signature on warranty slip regarding contact lens order.

  • Dispenses contact lenses once payment is received from patient or lenses are billed to insurance.

  • Assists in the inventory of all stock contact lenses and contact lens trials. Removes stock contact lenses from inventory as they are sold.

  • Calls patients when lenses arrive and inform Doctor’s team so the patient can be scheduled.

  • Mails out contact lenses when requested.

  • Assists in nightly close out of the optical shop, including but not limited to balancing of cash and insuring all transactions are accurately recorded.

  • Maintain accurate records of all contact lens transactions to insure payment and credits are received for all items sold or returned to vendor.

  • Assists with charge entry / payment entry of optical products into practice management system.

  • Stocks contact lens solutions and diagnostic contact lenses in technician rooms.

  • Maintain communication with practice ODs/Administrative Assistants and Practice Managers to help improve Optical Shop efficiency and patient satisfaction.

  • Assists in the daily cleaning of OCB Optical.

  • Complete monthly statement reconciliation.

  • I & R training for new contact lens wearers.

  • Maintain contact lens pricing sheets.

  • Review monthly financial statements to look for areas to improve profitability.

  • Related duties as requested/assigned.
