Description

The Optical Manager supervises the Optician(s), Optician Apprentice(s), and Optical Sales Associate(s) and oversees all operations including budget and finance in the Optical Shop. The Optical Manager is also responsible for all duties of an Optician. The Optical Manager reports directly to the Clinical Director of Optometry and collaborates with the Office Manager of Optometry.

Representative Duties

Assist patients with optical ordering and fitting.

  • Measure patients’ pupillary distance, and optical centers of eyes, using supplied measuring devices

  • Assist patients with selecting frames; measure patients for size of eyeglasses and coordinate frames with facial and eye measurements and optical prescription

  • Prepare and write up orders and instructions for grinding lenses and fabricating glasses

  • Recommend specific lenses, lens coatings, and frames to suit patient needs

  • Conduct final inspection of glasses that are sent from labs

  • Instruct patients on how to care for and handle their eyeglasses and sunglasses

  • Maintain records of customer prescriptions, work orders, and payments

Manage the Optical Shop

  • Supervise Optical staff

  • Oversee staffing schedules

  • Work on staff development and complete annual and new hire performance evaluations

  • Oversee Optician Apprentice(s) apprenticeship

  • Recruit and interview for open Optical positions

  • Train new hires and ensure that they have tools and instruction needed to succeed

  • Bookkeeping duties

  • Verify accurate completion of daily reconciliation and send completed weekly totals to Finance

  • Collect data on all sales transactions and other trackables for monthly reports to submit to Finance

  • Meet with Finance department monthly to discuss reports

  • Reconcile invoices from vendors with product received

  • Submit all invoices to Accounts Payable and follow up with vendors as needed

  • Create and manage budget

  • Set and oversee sales goals based on data

  • Create realistic outline of annual expenses by category and monitor through fiscal year

  • Manage store presentation and merchandise

  • Oversee physical inventory, on-hand counts, displays, merchandising, and store presentation

  • Coordinate meetings with sales representatives to order new ophthalmic styles and maintain optical inventory

  • Oversee protocols based on insurance provider vision coverage

  • Make sure Optical staff and patients are aware of different benefit limits with insurance coverage

  • Meet with Billing department on a monthly basis to stay up to date on payer benefits

  • Ensure excellent patient experience

  • Ensure a high level of quality service through accurate measurements, correct pricing, and realistic timelines for patients and customers

  • Keep up to date with the latest lens standards and technologies, and share relevant information with staff

  • Ensure that patient care meets quality standards for services, and evaluate and ensure patient satisfaction

  • Place a high value on excellence in personal and departmental performance

  • Work collaboratively with Clinical Director and Office Manager

  • Participate in quality assessment and improvement activities as requested

  • Adhere to the highest principles of patient and client confidentiality, following HIPAA guidelines

  • Adhere to established safety policies, procedures and precautions

  • Attend all required meetings, in-services and professional trainings

  • Maintain professional competence necessary to perform job responsibilities; maintains and provides agency with records of continuing education activities

  • Serve on professional committees as needed

Perform other related job duties as required

Requirements

  • Current unrestricted license to practice as a dispensing optician in the State of Massachusetts

  • At least 3 years of experience working in an optical shop, required

  • Previous experience working with electronic medical records, preferred

  • Training appropriate to practice and ability to perform requested privileges

  • Knowledge of principles and processes for providing excellent customer service

  • Knowledge of principles and methods for showing, promoting, and selling products or services including: marketing strategy and tactics, product demonstration, sales techniques, and sales control systems

  • Knowledge of administrative and clerical procedures and electronic health records systems, including managing files and records, and effective and detailed documentation

  • Strong leadership and organizational skills, and a collaborative and solutions-oriented mindset

  • Demonstrated computer skills (e.g. Microsoft Word, Excel, and Outlook)

  • Ability to interpret data and make data-driven decisions

  • Experience working with an ethnically, culturally, and racially diverse work staff preferred

  • Ability to work harmoniously with diverse groups of individuals required
