Joslin Diabetes Center Lead Medical Assistant/Phlebotomist (Lead Joslin Care Coordinator) in Boston, Massachusetts
The Lead Joslin Care Coordinator (Lead Medical Assistant/Phlebotomist) in addition to the responsibilities of a Joslin Care Coordinator, with direction from the Clinical Supervisor, takes the lead role in assessing, monitoring and evaluating the needs of the Joslin Care Team. Updating the scheduling white board to reflect all scheduling changes and needs. Oversee activities in assigned Unit and all Units as necessary. Assists providers with patient care to meet patient’s needs and provide efficient patient flow as well as stellar customer service. Leads, mentors, coordinate, collaborates with all Joslin Care Coordinators (JCC) to maintain clinic flow and oversees JCC work flow and job requirements. Participates, assist with and provides information regarding employee yearly competencies and evaluations.
Hours are Monday-Friday 9:30 am-6:00 pm (Note: Clinic hours 7am-6pm, so schedule may vary)
Monitors and evaluates the JCC coverage for the clinic team (Units 1 & 2 & Central work up) ensuring that staffing is adequate given the volume by time. Collaborates with other LEADS to maintain efficient clinic flow. Adjust staff lunches to accommodate the patient volume. Reviews schedule for the next day to determine if additional coverage is needed notifies the Clinical Supervisor if needed.
Evaluates exam room utilization given provider schedules and patient volume and make changes when necessary, communicating changes to provider, unit staff, lab staff, front desk.
Continuously update the electronic whiteboard to reflect scheduling changes made throughout the day. Direct patient flow in CWU and Units to ensure the flow for pre and post lab patients are managed efficiently.
Delegates and or assists in Initiating the patient intake process. Prepares exam and central workup rooms, greets and escorts patients to exam rooms, takes patients’ medication history and checks for accuracy in medication doses, asks patient if any prescriptions are needed and records information in NextGen, obtains vital signs, assists patients with undressing, explains Joslin Care procedure. Lead JCC may delegate this responsibility and oversee the duty.
Administers treatment for low blood sugars according to Clinic protocol. Call 1903 whenever necessary. Teaches and remediates other JCC’s performance in 1903 situations.
Perform and supervise tasks related to the NextGen, Harvest, GLOOKO, and various other glucose downloading systems.
Teaches and monitors JVN task board.
Delegates and or Assists physicians as necessary by helping to perform EKGs and other procedures. Ensures physician completes consultation and requisition forms as needed.
Delegates and or Cleans and restocks exam and central workup rooms and checks that medical supplies and drugs have not passed their expiration dates.
Delegates and or Downloads patient meters and print necessary reports.
Evaluates use of GLOOKO downloading and remediate as necessary.
Delegates and or Schedules same day appointments needed for education, partner, mental health, renal, eye, tests and consultations.
Identifies when there is a gap in coverage and changes the schedule to correct the gap.
Performs phlebotomy on all age groups from pediatric to geriatric, including capillary specimens.
Train and remediate new personnel in all areas of CWU, Unit 1 and Unit 2.
Monthly audit review of insulin supplies and submit QA report. Maintain inventory of patient lab and unit supplies as needed.
May oversee and report back to Clinical Supervisor any and all discrepancies and or issues with Sample Management system.
May work with Sample Vendors to assure appropriate sample received and monitors expiration dates and Lot
May accept vendor inventory and logs in inventory for in person and mail in medications.
May remediate JCCs for Sample Management discrepancies.
Works closely with Clinical Supervisor to assure stellar customer service is practiced every day. Reports directly to Clinical Supervisor any issues that are of concern to the clinic.
Other duties as assigned.
5+ years of work experience in a medical setting, including phlebotomy experience is ideal (minimum 2 years)
Team Leader experience preferred
Graduate of an accredited medical assistant program preferred
Certified in Massachusetts
Current CPR (AHA) certified
Must be comfortable delegating to peers
Effective organizational and interpersonal skills to anticipate and react to the to needs of patients and staff
Ability to function in a fast-paced, diversified work environment
Working knowledge of computers
