  • Supervising and leading the work of ambulatory services representative staff/personnel.

  • Planning work schedules to ensure adequate coverage for critical administrative/clerical functions. Monitoring and ensuring work is performed in conformance with established hospital and departmental policies and procedures. Recommending, implementing and maintaining interoffice systems/policies and procedures to promote efficient and effective support service operations.

  • Recommending and assisting in development and implementation of departmental administrative policies and procedures.

  • Leading, organizing and overseeing provision of clinical administrative support services for department/service.

  • Planning, prioritizing and delegating work assignments and monitoring performance, providing feedback and guidance.

  • Training and orienting new personnel and communicating changes in hospital and departmental policies and procedures.

  • Participating in selection, evaluation and discipline of assigned staff.

  • Monitoring clinic activity to ensure the best possible patient experience.

  • Assisting the staff with resolving customer service and scheduling issues.

  • Responding to patients concerns and needs, offering the best possible appointment options and resolution to other patient concerns in accordance with our best practices and procedures.

  • Responding to situations requiring escalated service response.

  • Monitoring and maintaining department electronic and paper recordkeeping systems, including highly sensitive/critical administrative and financial data and employee information.

  • Overseeing input of information into computer databases and spreadsheets, monitoring data validity and compiling, printing and distributing periodic reports and other information as needed.

  • Evaluating, recommending and implementing changes or upgrades in systems as appropriate. Serving as a SuperUser for clinical floor and participating in Joint Commission/Environment of Care preparations and rounds.

  • Collecting and compiling data from diverse sources, performing calculations, preparing analyses for supervisor's review and performing other related duties as assigned.

To qualify, you must have:

  • The level of knowledge typically acquired through completion of two years of occupationally specific education or an Associate's degree in business or a closely related field and three to four years of previous experience.

  • The analytical skills to resolve problems that require the use of basic scientific, mathematical, or technical principles.

  • The ability to communicate effectively both orally and in writing and provide empathy in difficult interpersonal situations.

  • Strong organizational skills to be able to multi-task in a high volume practice.
