This Document Imaging Technician will be responsible for:
Distributing/adjusting work assignments to other Document Imaging Technician as needed in making sure all requests to scanned/uploaded records received on each shift are completed before next business day. Including the need to provide ongoing communication regarding workload to leadership especially when there are barriers/constraints with having work completed by assign shift.
Performing Quality Assurance (PowerChart Check) according to department procedures to ensure images are viewable and accurately indexed within Powerchart. Demonstrating the indexing of visit specific and non-visit specific including indexing to correct patient/encounter including the correct MRN, visit number and document type.
Reconciling inpatient, DSU, and ED discharges records received with daily list to verify that required documentation have been accounted for.
Scanning and uploading documents into electronic images within timeframes outlined in department procedures using electronic scanning technology.
Identifying/troubleshooting documents that can’t be processed in accordance with department quality standards. Assisting staff in the determination of causes for errors and identifies workflow process/changes if needed to avoid future errors. Reviewing, monitoring, tracking, investigating, and processing documents that are left for review or problem resolution. Resolving and following up on discrepancies and outstanding issues.
Assisting Scan Operators for issue resolution with assignment of all documentation to the correct MRN, visit number, and document type.
Communicating with physicians, and department and hospital personnel, as well as patients and visitors and responds to phone call/chart requests in a timely fashion. Prioritizing workload to promote continuity of care and participating in projects as assigned, and performing other related duties as assigned by supervisor or manager.
Reporting shift summary statistics reflecting operational activity of the team in accordance to department procedures.
Escalating issues to leadership barriers/constraints with having work completed by shift as appropriate include assisting with special projects as needed.
In order to qualify you must have:
A high school level of educational development.
Technical training in health records management or a related field is preferred.
One year of administrative experience, preferably in a healthcare setting is a plus.
Analytical skills to gather and interpret data in situations in which the information or problems are relatively routine.
Ability to understand and respond to written or verbal instructions.
Ability to clearly communicate information clearly and courteously.
