In this role, the Sr. Specialist, HR Operations/Leave Mgmt. supports activities related to leave administration, communication and documentation. They will serve as a central point of contact for employees, managers and HRBPs throughout the full leave cycle from initial request for leave through return to work. They will ensure completion of all required tasks by email, phone, and virtual meetings as necessary, creating a positive experience with the HR organization. This role supports leave administration including monitoring the leave mailbox and responding to emails; maintaining leave status in HCM/HRIS, coding timecards for employees on leave and communicating with payroll to ensure accuracy; answering requests for information from leave vendor; answering questions from employees, HRBPs and Managers.
Responsibilities:
Supports activities related leave administration, communication and documentation.
Performs initial leave ‘intake’ with employee following established procedures.
Communicates with employees regarding the need for leave. Ensures that employees are aware of their responsibilities for documentation and notice required to qualify for and take leave. Engages Managers and HRBPs as appropriate.
Under guidance of Manager, Leave Administration, advise employees of preliminary eligibility for federal and state statutory leaves, disability benefits and provides accurate leave program information to employees.
Serve as a knowledgeable leave resource and central point of communication with employees, Managers and HRBPs for all leaves throughout the full life cycle from initial request for leave to return from work.
Monitor leave mailbox, responding directly to emails or triage as appropriate. Ensure high level of customer service with employees, responding to all emails within 24-48 hours of service level response time and with necessary sense of urgency.
Manage leave status updates in HCM/HRIS accurately and timely, utilizing internal leave of absence records, email records and leave vendor reporting. Perform regular audits for accuracy.
Complete timecard coding for employees on leave, ensuring accurate and timely payroll.
Under guidance of Manager, Leave Administration, provide leave case management through to resolution with employees, Leaders and leave vendor at regular defined intervals.
Manage and escalate complex LOA/ADA cases appropriately for guidance by using sound judgment, including but not limited to system processing issues, leave pay discrepancies, employee feedback and vendor escalations
Maintains outreach to employees on leave at regular touchpoints and critical junctures of leave to facilitate smooth and timely return to work or extension of leave. Relays communication between employees and their managers during leave.
Monitors all open leave cases with leave vendor as well as closed, denied, withdrawn cases and cancelled cases, taking appropriate established corresponding actions relevant to each leave status.
Responds timely to Leave and Disability vendor notifications on requests for leave, disability and wage information.
Calculates and manages benefits deductions for employees on leave ensuring the appropriate deductions are taken. Communicates all updates to payroll team, as appropriate. Communicates deduction amounts to employee with instructions for payment remittal.
Maintains extreme confidentiality regarding employee personal information.
Research issues and proposes solutions for resolution to manager
Resolves data discrepancies with leave vendor, payroll, HRIS and/or employees as necessary.
Serves as backup to the Manager, Leave Administration when necessary
Assist on special projects.
Requirements:
High school diploma required
5+ years of experience within a complex human resources department
Associates degree in Human Resources, or a related discipline or comparable experience and competencies desired
