State of Massachusetts Administrative Services Coord - Goldfarb Primary Care Clinic in Boston, Massachusetts

The Lemuel Shattuck Hospital under the Massachusetts Department of Public Health is seeking an experienced and dedicated* Administrative Services Coordinator for the Goldfarb Primary Care Clinicat the campus in Jamaica Plain. The Administrative Services Coordinator is responsible for coordinating all aspects of a patient originating from the Goldfarb Primary Care Clinic (GPCC). This includes, but is not limited to, service referrals, prescription renewals, pre-authorizations and post-visit outreach. The Administrative Services Coordinator also serves as back-up to the Telemedicine Coordinator. *_Please note:_ * The shift hours for this position are from 8:00 a.m. to 4:00 p.m. (37.5 hours per week). Days off are Saturday and Sunday. *_Duties and Responsibilities (these duties are a general summary and not all inclusive)_: * Engages patients by telephone to discuss referral requests and appointment needs as necessary. Schedules GPCC and related ACC referral appointments in Meditech while connected with client. * Schedules imaging appointments for clients as needed; communicates appointment details to patients. * Retrieves lab, imaging and specialty clinic referral results for clinician review prior to patient’s follow-up visit. * Performs client outreach post-appointment to confirm appointments, provide education and solicit feedback regarding GPCC performance. Obtains documentation/information regarding services received at outside facilities in prior to GPCC follow-up appointment. * Provides clerical support to GPCC. Assists clinical staff in revising ACC Summary Sheet. Creates new ACC Summary Sheet on patient’s first visit. Provides copy of ACC Summary Sheet to client at visit’s conclusion. * Performs duties associated with GPCC billing, reconciles discrepancies with Patient Accounts. * Attends and regularly participates in team/departmental meetings. * Provides coverage for Telemedicine Clinic Coordinator. * Performs other duties as assigned. _Required Qualifications:_ * Exceptional customer service * Strong communication and intrapersonal skills * Proficient with Microsoft Office programs * Ability to meet deadlines in a high-pressure environment * Ability to work both independently and as part of a team _Preferred Qualifications:_ * Familiarity with electronic medical record documentation * Meditech Experience * Proficient with Microsoft Outlook, Word, Excel and PowerPoint * Bilingual skills _About the Lemuel Shattuck Hospital:_ Lemuel Shattuck Hospital is a fully Joint Commission accredited teaching facility that provides acute, subacute, and ambulatory care to patients referred by public agencies and private sector providers. Shattuck Hospital’s services help economically and socially disadvantaged patients to get high quality, cost-effective care from a staff that respects their dignity. Located in the heart of Boston’s Jamaica Plain neighborhood, the Shattuck Hospital includes 260 inpatient beds including 115 Psychiatric beds and 28 Correctional Health beds. In addition, the Shattuck has a full outpatient clinic with many specialties that offers treatment to patients of the Department of Mental Health as well as Department of Correction inmates and community patients. The Shattuck hospital is on the forefront of substance use disorder treatment including a Suboxone clinic serving 200 patients. MINIMUM ENTRANCE REQUIREMENTS: Applicants must have at least (A) four years of full-time or equivalent part-time experience in one or multiple areas of the following, as required by the assignment: office management or administration, finance, accounting, purchasing, or human resources or (B) any equivalent combination of the required experience and the substitutions below. Incumbents may be required to possess a current and valid motor vehicle driver’s license at a class level specific to assignment. Substitutions: I. An Associate’s degree with a major in public or business administration, human resources, accounting, business management or other related degree may be substituted for one (1) year of the required experience. II. A Bachelor’s degree or higher in with a major in public or business administration, human resources, accounting, business management or other related degree may be substituted for two years of the required experience.
