The Clinic Administrative Coordinator will provide administrative support for three of the clinical centers within Sargent College: Sargent Choice Nutrition Center, the Center for Neurorehabilitation and the Aphasia Resource Center. The Administrative Clinic Coordinator supports the clinical, educational and research programs of the Centers. The coordinator provides patient care support for clinical programs including greeting patients, managing phones, scheduling appointments/programming, payments, insurance matters, patient intake and ensuring HIPAA compliance. Will also provide budgetary, administrative and research support to each center as needed.   • Patient care support for clinical programs; answer phones, schedule and confirm appointments/programming, liaise with BUPTC for billing/insurance/regulatory changes, create charts, fax documentation, verify insurance information/process insurance claims/ follow-up on payer denials and consult with patients, coordinate referrals with medical offices, provider credentialing, greet patients and manage parking reservations for clinic patients; liaise with Director of Operations, facilities, and maintenance team to maintain work environment in centers/offices; implement HIPAA procedures/ensure adherence. (45%)

  • General office duties: order supplies and equipment, make copies, print documents; maintain online clinical schedule for all activities; manage website for each center; room reservations, event planning including registration/media/food/room reservations; post public information to SAR community, answer questions, provide directions and general resource to students, faculty and staff from 6th floor front desk. (15%)

  • Budgetary Responsibilities; monthly reconciliation for three center budgets, credit cards and support of provider expense reports, donation collection, process invoices/requisitions/cash credit vouchers/disbursement forms. (15%)

  • Hire, train and supervise student employees. (20%)

  • Research support; database entry, photocopying, subject reminder phones calls and scheduling, parking reservations. (5%)

Required Skills

Bachelor's degree preferred and one to three years of experience, preferably in a medical office. Must be able to multi-task and prioritize. Requires attention to detail, ability to navigate a variety of EMR systems, as well as excellent customer service skills. Ability to successfully communicate in a sensitive manner with a variety of individuals including patients, faculty and staff is required.
