Come join one of Children's elite divisions as an Administrative Associate III! The Division of Critical Care Medicine is looking for a strong administrative professional for a full-time position. The position calls for an individual with solid administrative experience, but most importantly one with high energy and ambition to excel. The successful candidate will want to learn the operations of a successful Children's program from many angles. This position requires excellent computer skills, written and oral communication skills and outstanding customer service skills. We are looking for a self-motivated individual.
The Administrative Associate III will be responsible for:
Provide administrative support for the Chief of Critical Care Medicine. Duties involve calendar management , scheduling appointments with both internal and external contacts at all levels, prepares travel arrangements, attends and records meeting minutes, and assists with ad-hoc projects
Submit and track financial reimbursements for the Chief of Critical Care Medicine
Coordinate and attend interdisciplinary ICU brainstorming and innovation meetings with representation from physicians, nursing, social work, and administration
Plan, prepare and coordinate the administrative functions for Critical Care Grand Rounds conferences
Organize administrative aspects for the World Federation of Pediatric Intensive & Critical Care Societies (WFPICCS) Education Committee, which focuses on compiling resources for PICU intensivists around the world
Serve as the logistical planner for all Critical Care Visiting Professors. Duties involve visitation date scheduling, booking airfare, booking hotel accommodations, securing ground transportation, generating a two-day meeting itinerary, and acting as the on-site contact for all visitors
Screen and route telephone calls and greeting/directing visitors and staff
Assist Critical Care Administrative team and members of management with other projects and tasks as needed
To qualify, you must have:
Work requires a high school level of educational development and two years of administrative experience.
Work requires an in‑depth knowledge and understanding of the department and hospital programs, policies, procedures and information related to his/her functions and services.
Work requires initiative in improving operations within area/department, and the ability to assists in implementing changes.
Work requires the ability to assist in overseeing the daily activities of co-workers to help plan, prioritize and delegate work assignments.
