MKS Instruments Inc Executive Assistant in Andover, Massachusetts
A Day in Your Life at MKS: MKS Instruments is seeking an Executive Assistant to join the team. We are looking for an experienced professional who excels in a fast-paced environment with a calm and effective get-it-done approach who can juggle a multitude of responsibilities. This position requires a professional certification or equivalent experience working with C-Suite and senior level executives within and outside the company, as well as experience with customers, vendors, visitors, and other executives. In this role, you will be responsible for a variety of administrative activities including the below:
You Will Make an Impact By :
Provide seamless, high level confidential administrative support to the CFO, CHRO and VP, Investor Relations
Proactively manage various activities including Board & Corporate Reporting calendars, meeting agendas, planning of large corporate events, investor conferences and offsite meetings
Maintain calendars, and have the ability to prioritize conflicts and competing priorities which frequently change and often require coordination with other executive calendars
Arrange and manage complex domestic and international travel, itineraries, expense reporting, invoice processing and more
Prepare, review, edit and proof board, committee and executive meeting materials
Serve as a liaison for a variety of external boards, customers and stakeholders
Make high level contacts of a sensitive nature inside and outside the company
Travel Requirements: Up to 10% of travel is required
Skills You Bring:
A minimum of 5 years of experience supporting C-Suite and senior level executives required
Requires specialized administrative support experience, arithmetic skills, read difficult instructions and maintain written records
Demonstrated effective verbal and written communication and interpersonal skills required at all levels both within and outside of the organization, from C-suite level leaders and manufacturing floor employees to external customers, outside service providers and other guests of the company, in person, via email or phone
Ability to prioritize and multitask in a fast-paced and deadline driven environment is a must
Ability to exercise highest levels of discretion with sensitive/confidential material or matters
Ability to exercise judgement and drive results independently, as well as to work effectively and collaboratively with the broader administrative team
Strong MS Office365 skills including Outlook, PowerPoint, Excel and Word required; Boardvantage, Concur and Oracle preferred, but not required
Has wide-ranging experience, uses professional concepts and company objectives to resolve complex issues in creative and effective ways
Physical Demands & Working Conditions:
Must be able to remain in a stationary position at least 50% of time
Must be able to hear staff on the phone and those who are served in-person, and speak clearly in order to communicate information to staff
Must have vision with or without lenses adequate to read memos, a computer screen, personnel forms and clinical and administrative documents
Must have high manual dexterity
Noise level in the work environment is usually average
